Race Harborough Ltd – Terms and Conditions

1. Definitions

1.1 The above named organisation from this point forward will be referred to as ‘The Organiser.’

1.2 The ‘Entrant’ or ‘Competitor’ refers to the individual or individuals that have submitted an entry for an event .

1.3 The ‘event’ refers to all events listed on the Race Harborough website.

1.4 The registered company address is: 2 Whittam Close, Raunds, Northamptonshire NN9 6SL.

2. Conditions of Entry

2.1 By entering an event, a competitor agrees to abide by our terms and conditions as listed. This includes all members of a relay team.

2.2 All competitors are aware that the nature of the event is physically demanding and that by entering they are confirming that they are capable of completing it. As a result, the organisers will not be held responsible for any injury or illness as a result of their participation.

2.3 The competitor(s) waives, and discharges from, any and all liability for death, disability, personal injury, property damage, property theft and all other foreseeable risks, claims or actions of any kind (including negligence) whatever and however occurring which may arise, at any time, from or in connection with, directly or indirectly, their participation in the event, the following persons or entities: The event organisers, event officials and personnel, land managers and/or owners, event sponsors, volunteers and all of their respective officers, directors, employees, independent contractors, representatives, agents and volunteers .

3. Confirmation of Entry

3.1 An acceptance email will be sent to entrants confirming the entry to the event, from the Organiser’s online payment partner(s).

3.2 Entrants will receive an automatic email to confirm their entry. This email will have a link to enable the entrant to check/amend their details.

3.3 It is the entrant’s responsibility to ensure that all personal details are correct and updated.

3.4 Race Harborough cannot guarantee that changes made after the closing date will be implemented.

4. Refunds/Deferral

4.1 If an entrant wishes to withdraw from an event and gives sufficient notice, then Race Harborough are prepared to give back a proportion of the entry fee or defer the entry to the following years event, providing that the withdrawal policy is followed:

4.2 Any entrant wishing to withdraw, must notify the organiser in writing, by email. Emails should be sent to: info@raceharborough.co.uk

4.3 Entrants will receive confirmation of the withdrawal within 5 days. If you do not receive this confirmation, please telephone 07810 877546 to verify receipt of the withdrawal.

4.4 If the event is more than 6 weeks away, then withdrawals will be eligible for a 50% refund. This does not include the online processing fee which is non-refundable. No registration pack or goody bag will be sent to any competitor that has withdrawn from an event.

4.5 If the event is more than 4 weeks away, then the entry fee can be transferred towards the following year’s event. If the event is less than 4 weeks away, there will be no facility to receive a refund (partial or otherwise) or transfer the entry fee to the following year.

4.6 The organiser will endeavour to process the refund quickly but cannot guarantee that this will take place before the event occurs.

5. Transfer of Entry

5.1 Competitors may transfer their entry to another person for the same event. This can be done by notifying the organiser by email and making the necessary changes online (see 5.2) This must be done at least 1 week before the date of the event. If a registration pack has already been distributed, it is the responsibility of the original entrant and the new entrant to arrange for the pack to be transferred.

5.2 Entry details must be updated for the new entrant by logging onto the Rider HQ platform. This must be done by the original entrant. One week before the event, the facility to do this will be disabled and entry swaps will not be allowed.

6. Event Alteration and Cancellation

6.1 All information relating to the event will be published at www.raceharborough.co.uk. It is the responsibility of the competitor(s) to ensure that they have familiarised themselves with it.

6.2 The organiser has the right to change any event for a reason of safety without prior notice.

6.3 If for reasons beyond the organiser’s control (including an ‘act of God’ due to unforeseen, naturally occurring events that were unavoidable or inclement weather such as snow, ice, high winds, extremes of temperature etc), the event that competitors entered is cancelled, the organisers will postpone and reschedule a new event date and automatically enter all competitors on to the new date.

6.4 Alternatively if an event is cancelled for other reasons, the organisers will offer a full refund. Additionally if the organiser is not able to reschedule a new date, they will offer a full refund.

6.5 If an event is postponed for reasons beyond the organisers control (see 6.3) eg. because of inclement weather such as snow, ice, high winds, extremes of temperature or an ‘act of god’ and competitor are not able to attend the rescheduled date, race credit will be offered in return. Postponements will not be eligible for a refund in any circumstances.

7. Entrant’s information and photography

7.1 The entrant authorises the use of their name, voice and picture and any information provided on the entry form to be used without payment in any broadcast, telecast, communication, promotion or advertising. The entrant also agrees that the information may be used by the organiser for the purpose of promoting future or other events or for the promotion of the event charity, race sponsors products and services.

8. Prizes

8.1 If an entrant is not able to stay after the event for the prize giving, we will publish details of where to collect via the Race Harborough Facebook page.

8.2 Entries missing age/date of birth are not eligible for age group prizes.

9. Registration

9.1 Details of race registration times will be posted in the race information pack. All entrants are required to attend within the specified times. Entrants that do not attend, will not be allowed to race and will lose their right to a place in that event.

10. Refusal of Entry

10.1 Race Harborough maintains the right to refuse or revoke entry to any entrant entirely at their discretion.
